Flights and Arrival Requirements
Travelers participating in the Parasolo Travel Vacation Package are responsible for arranging their own airfare, as flights are not included in the package. All participants must independently book flights to Juan Santamaria International Airport (SJO), located in Alajuela, Costa Rica, and ensure their arrival occurs no later than 6:00 p.m. on the first day of the scheduled itinerary. Late arrivals may disrupt group logistics, as the package’s activities and transfers are timed to accommodate this deadline. Please note, the Parasolo Travel is not responsible for refunding any airfare costs under any circumstances, including if the customer cancels their participation in the vacation package for any reason, nor is the agency responsible for airfare refunds if the agency cancels the vacation package.
Travel Documentation Obligations
All participants are required to secure valid travel documentation prior to departure, including a passport with sufficient validity (typically at least six months beyond the return date) and any visas mandated by Costa Rican immigration authorities. Parasolo Travel assumes no liability for travelers denied entry due to incomplete, expired, or lost documentation, nor will refunds be issued under such circumstances. It is strongly recommended that travelers carry photocopies of their passport and entry stamp during their stay in Costa Rica to facilitate replacements if originals are misplaced.
Costa Rican Entry Protocol Considerations
Upon arrival, Costa Rican immigration officials may request proof of sufficient financial means to cover the stay and evidence of onward or return travel. While not explicitly mandated by Parasolo Travel, carrying printed copies of these documents-alongside passport duplicates-is advisable to streamline entry procedures and mitigate potential delays.
Eligibility and Health Requirements
Participation in the Parasolo Travel Vacation Package is restricted to individuals aged 21 years or older at the time of travel. Prospective travelers must self-certify that they are in good physical health and capable of engaging in group activities that may involve moderate physical exertion, such as walking tours, hiking, or other coordinated excursions. By purchasing the package, travelers explicitly confirm the absence of any health conditions or limitations that could hinder their full participation in scheduled activities.
If you accept services from Parasolo Travel, it is your responsibility to ensure that you are in good physical condition and able to participate in the activities included in your chosen vacation package. Some tours may involve extensive walking, hiking, or other physical activities that require a certain level of fitness and stamina. We strongly recommend that you consult with your physician before booking if you have any health concerns or pre-existing medical conditions. Our company is not responsible for any injuries, illnesses, or complications that may arise due to your physical condition during the trip. We reserve the right to refuse service to anyone we deem unfit for the planned activities, for their own safety and the enjoyment of other travelers.
Third-Party Operators and Unforeseen Circumstances
Travelers are required to follow the terms and policies of all third-party tour operators, service providers, and suppliers involved in their travel arrangements. Parasolo Travel acts solely as an agent for these independent suppliers and does not control or operate any third-party tours or services. As such, Parasolo Travel is not responsible for the acts, omissions, or policies of these third parties, nor for any changes, or modifications to their services.
Participation in travel activities involves inherent risks, including but not limited to illness, injury, death, adverse weather, or other events beyond our control. Parasolo Travel is not liable for any losses, damages, delays, injuries, illnesses, or deaths that may occur during any portion of your travel, whether caused by third parties, weather conditions, natural disasters, or unforeseen circumstances. By booking and participating in travel arranged by Parasolo Travel, you voluntarily assume all such risks.
Travel Insurance Information
We encourage all travelers to consider travel insurance for added protection during their trip. To explore a range of options, visit the parasolotravel.com/insurance page on our website for plan details and links to purchase if you choose. You may already have similar coverage from other sources, so we recommend comparing policies. However, please note that purchasing insurance is not required to buy services from Parasolo Travel.
If Parasolo Travel cancels your trip, you will receive a full refund of your package payment. However, Parasolo Travel is not responsible for any refunds of travel insurance premiums or policies you may have purchased independently. Most policies offer a “free look period” for a full refund within a set time after purchase. If your trip is canceled after this period, you may not be eligible for a refund of your insurance premium. Please consider this when purchasing travel insurance.
Agency-Initiated Travel Cancellation
If Parasolo Travel cancels your trip for reasons not caused by you, you will receive a full refund of all payments made to us.
Customer-Initiated Travel Cancellations
We understand that circumstances can change. Our cancellation fees are structured based on the timing of your cancellation relative to your scheduled departure date. This structure helps us manage commitments with our partners and suppliers.
Single Supplement Bookings
61 days or more before the package start date:
$100 administrative fee will be deducted from your refund.
60–30 days before the package start date:
$100 administrative fee and 10% of the total package cost will be deducted from your refund.
29–10 days before the package start date:
$100 administrative fee and 30% of the total package cost will be deducted from your refund.
9 days or fewer before the package start date:
No refund available.
Shared Accommodations
61 days or more before the package start date:
$75 administrative fee will be deducted from your refund.
60–30 days before the package start date:
$75 administrative fee and 10% of the total package cost will be deducted from your refund.
29–10 days before the package start date:
$75 administrative fee and 30% of the total package cost will be deducted from your refund.
9 days or fewer before the package start date:
No refund available.
Submitting a Cancellation
To cancel your booking, please send a written request by email. to info@parasolotravel.com Cancellations cannot be processed online; written notice via email is required to initiate your cancellation.
Exceptional Circumstances for Cancelation
If you are experiencing a medical emergency or other significant hardship, please email us at info@parasolotravel.com with your supporting documentation. We will review your situation on a case-by-case basis and may be able to provide additional flexibility where appropriate.
Minimum Participation Requirements
Parasolo Travel reserves the right to cancel the vacation package if the minimum number of participants for a group is not met. In such cases, you will be notified in advance and receive a full refund of your package payment.
Itinerary Modifications and Activity Participation
Travel reserves the unilateral right to adjust the itinerary at any time, including changes to activity schedules, accommodations, transportation arrangements, or destinations-including skipping or removing specific provinces or locations-to address operational needs, safety concerns, or unforeseen circumstances. While all prearranged tours and activities are included in the package cost, participants may voluntarily opt out of specific excursions. However, travelers declining activities must still adhere to the group’s shuttle schedule and remain with the cohort during transfers; no refunds or credits will be provided for non-participation or for any changes to the itinerary, including if certain destinations or provinces are not visited.
Accommodation Allocation Policies
Vacation packages are allocated on a first-come, first-served basis, with limited availability for solo travelers and those opting for shared accommodations. Travelers selecting shared lodging will be paired with roommates sequentially based on purchase order. Room assignments may change from hotel to hotel to encourage mingling and help participants get to know one another; however, if you have purchased a room for two travelers, you will keep the same roommate throughout your stay. This dynamic pairing system ensures flexibility but requires participants to be adaptable.
Hotel Room and Bedding Variation
Parasolo Travel cannot guarantee that hotel rooms will have identical décor, size, layout, or bed sizes, either between different travelers’ rooms or within the same room. In some cases, two travelers sharing a room may find that the beds provided are of different sizes or types, as bed configurations can vary by hotel and room category. Travelers may choose among the beds available in their room.
Group Dynamics
Parasolo Travel is not responsible for the interpersonal dynamics, personal relationships, or social interactions among participants during group travel. The agency has no control over, nor does it endorse, the personal views, opinions, beliefs, or feelings of any individual traveler. Group travel involves people from diverse backgrounds, and while we encourage a respectful and inclusive environment, Parasolo Travel cannot be held liable for disagreements, conflicts, or discomfort that may arise between participants. Each traveler is solely responsible for their own conduct and social experience throughout the trip.
Pre-Departure and In-Country Communication
Parasolo Travel may disseminate critical updates, notifications, or advisories related to the vacation package via email or text message prior to and during the travel period. Travelers are advised to monitor these channels regularly to stay informed of itinerary adjustments, meeting times, or other essential details.
Privacy Protection
At Parasolo Travel, your privacy is important to us. We collect information you provide during booking, newsletters, customer service, and travel forms, such as contact details, payment information, and travel preferences. During trips, staff or other travelers may take photos or videos that could include you, which may be used for marketing, social media, or our website. You may opt out of marketing photos or request image removal at any time, and we encourage everyone to respect privacy regarding photography.
Parasolo Travel uses your information to manage bookings, communicate details, provide customer service, arrange travel, ensure safety, and, with your consent, send marketing communications. Information may be shared with service providers, travel partners, or authorities as needed for your booking or to meet legal requirements. We protect your data and keep it only as long as necessary.
The website collects technical data like IP address, browser and device information, and cookies to improve your experience and site functionality
You have the right to access, correct, delete, or restrict your data, and to opt out of marketing or photo use. We do not knowingly collect information from children under 16.

Service Refusal Disclaimer
Parasolo Travel maintains the unequivocal right to refuse service to any individual at its discretion, particularly in cases of non-compliance with outlined terms, disruptive behavior, or threats to group safety. This policy ensures a cohesive and secure experience for all participants.
